# Client kickoff meeting agenda for marketing agencies (60 minutes)

A timed 60-minute agenda for the first meeting after signature, with who attends, what to send before, what each block must produce, and the recap email to send within 24 hours.

RevSmith, updated 4 November 2026. Part of the client onboarding checklist at https://revsmith.in/templates/client-onboarding-checklist.

## The point of the kickoff

Use the kickoff to confirm, not to collect. By the time it starts, the intake questionnaire is back and the access requests went out on day 0, so the hour goes on the things only a conversation settles: what success means, who decides, how you work together and the first win. Hold it by working day 5.

## Who attends

| Side | Who | Why |
|---|---|---|
| Client | The approver | Signs off goals, targets and scope; without them the kickoff is a rehearsal |
| Client | The day-to-day contact | Will answer most questions from here on |
| Client | Whoever holds the admin role on the main platforms (for the last block, or on call) | Can grant missing access during the meeting |
| Agency | Account lead | Runs the meeting and owns the recap |
| Agency | The lead specialist for each channel | Owns targets, the tracking audit and the first win |

## Send 24 hours before (the pre-read)

- [ ] One-paragraph scope summary: what is included, what is not, revision rounds, how extras are priced.
- [ ] The intake gaps: every partial or missing answer, with its question number.
- [ ] Proposed targets, with today's baseline where the snapshot already shows it.
- [ ] The access log: every platform, the role asked for, and asked, granted and verified dates.
- [ ] The agenda below.

## The agenda

| Minutes | Block | Lead | What it must produce |
|---|---|---|---|
| 0 to 5 | **People and roles.** Who does what on each side; who approves; who covers when someone is away. | Account lead | The approver and the backup, named |
| 5 to 15 | **What was sold.** Scope, exclusions, revision rounds, and how an extra request is raised, priced and approved. | Account lead | No objection to the scope, or a correction to the SOW |
| 15 to 30 | **Goals and targets.** The one number the work is judged on, where it is counted, today's baseline, and what good looks like at 30 and 90 days. | Lead specialist | Goals, the one number, baseline and targets, confirmed by the approver |
| 30 to 40 | **Intake gaps.** Each partial or missing answer, in question order. | Account lead | Every gap answered, or given a client owner and a date |
| 40 to 50 | **How we work.** Approvals and reply times on both sides, reporting cadence and format, the channel for questions, the weekly check-in slot. | Account lead | Cadence, format, channel and reply times, agreed |
| 50 to 60 | **First win and next dates.** The one visible change to ship before day 30; then the access log read aloud, platform by platform; then the dates of the baseline report and the 30-day review. | Account lead and specialists | The first win with a date; a client owner and a date for every open grant |

If time runs short, cut block 4 to the gaps that block work and send the rest by email. Never cut block 3: a kickoff that ends without a confirmed number leaves every later report open to argument.

## Decisions log (fill in during the call)

| # | Decision or answer | Who confirmed | Goes to (client record field) |

| 3 | Scope corrections, if any | | Scope |
| 4 | Reporting cadence, format and reader | | Reporting cadence |

| 6 | Open access grants, each with a client owner and date | | Access log |
| 7 | | | |

## The recap email (send within 24 hours)

> **Subject:** [Client] kickoff: what we agreed, and what happens next

Hi [approver's first name],

Thank you for the time today. Here is what we agreed. Please reply to confirm, or tell us what to correct, by [date].

**Goal.** [What has to be true in 90 days.]
**The number we will be judged on.** [Metric], counted in [source]. Today: [baseline]. Target: [target] by [date].
**Scope.** As in the SOW, with [any correction]. Extra requests go to [channel] and are priced before work starts.
**Approvals.** [Name] approves work and scope changes, usually within [reply time]; [backup] covers when they are away.
**Reporting.** [Cadence and format], read by [reader]. First baseline report on [date]; 30-day review on [date].
**First win.** [Change] by [date].
**Access still open.** [Platform]: [role], granted by [client person] by [date]. [Repeat per platform.]

We will keep these in one place and update them when anything changes, so you will not be asked twice.

Thanks,
[Name], [Agency]

## After the call

- [ ] Recap sent within 24 hours; the approver's reply filed.
- [ ] Every decision copied into its field in the client record; the intake form and call notes marked superseded.
- [ ] Baseline report, weekly check-ins and the 30-day review in both calendars.
- [ ] Open access grants chased on the dates agreed; the day-5 and day-10 stall rule applied if they slip.
